Deal management and approval

How might we simplify the consumption of pipeline data and increase trust in it’s accuracy?

problem: Real estate teams had no single source of truth for their location pipeline data, referring to different internal and external systems. This led to data discrepancies, lack of trust in the information, and hours of manual compilation of data for executive approval of lease signings.

solution: Extensive interviews, co-creation sessions, and prototype-testing with users and stakeholders helped us shape the idea for a new platform, consisting of a native iOS app and a responsive web application. By incorporating passive data-capture through things like scraping of uploaded documents and pulling dates and space information from other systems, we were able to greatly increase the data completeness and accuracy. To further build user trust in the integrity of the data, we incorporated a feed of revisions made to a deal’s information, in addition displaying the source of key data points. This is all organized into a single view for each deal, with information grouped and prioritized based on sorting exercises in co-creation sessions with users and stakeholders from different regions globally. This platform enabled the business to do away with regular in-person meetings with dozens of attendees, as well hours of preparation for each meeting, in favor of asynchronous evaluation of deals.

How might we empower teams to surface the right data in the right format?

problem: Real estate teams spent hours manually creating and updating spreadsheets compiled from various data sources. The data was often out-of-date or incomplete, and the formatting needs of the spreadsheets differed between regions and teams.

solution: We conducted generative interviews with users and stakeholders to clarify the scope of the problem, leveraged sacrificial concepts and provocations to hone in on possible solutions, and studied patterns in many of the tools users employed in their current workflows (Excel, Google Sheets, AirTable, Tableau, Looker, etc). This informed the generation of wires and prototypes, and ultimately led us to a new feature: Allow users to create reports by selecting from existing data points in the system, or creating new custom fields. Additionally, report creators can share reports with other users, and set the permissions on the ability to edit filter, sort, and group functionality. The data in the reports pulls directly from the system of record, so the report updates itself, saving deal team members 6+ hours per week while ensuring greater accuracy.

How might we keep new users engaged?

problem: FIeldlens, an issue tracking platform for construction workers, was seeing an increase in new users sign-ups (yay!). However, the majority of these new users quickly left the app and never returned without completing the onboarding flow or creating any content (uh oh).

solution: We identified the exact points in the flow where users dropped-off and began prototype testing copy changes in these moments. By inserting key phrases from the marketing campaigns such as “Safety issues”, and “Punch list”, we were able to provide users with an onboarding experience that more closely matched the advertising they converted through. As a result, first week retention (percent of new users who are still using the app 7 days after they sign-up) increased from 17% to 39% in just a few weeks. This was a big impact requiring minimal engineering effort, thanks to close collaboration between marketing, product, and design.
